General Information
Where is the registration desk located and what time is it open?The registration desk is located in the Hyatt Regency Chicago on the Gold Level (East Tower).
Note: On Friday, July 19, the registration desk will be in the Riverside Exhibit Hall (East Tower Purple Level) from 8:00 a.m. to 12:00 p.m. It will then move to the Ballroom/Gold Level (East Tower) from 12:00 p.m. to 5:00 p.m.

Where is the exhibit hall located and when is it open?The exhibit hall is located in the Hyatt Regency Chicago on the Purple Level (East Tower).
- Saturday, July 20: 5:00 p.m. – 6:30 p.m. (This is a ticketed event. Attendees purchasing a full conference or Saturday Single-Day registration will receive a ticket to this event; additional guest tickets are available for purchase.)
- Sunday, July 21: 10:15 a.m. – 4:00 p.m
- Monday, July 22: 8:30 a.m. – 4:00 p.m.
- Tuesday, July 23 8:30 a.m. – 12:00 p.m.
Is closed captioning available in the program rooms?
This year, we are excited to introduce Wordly, which will provide live closed captioning for all AALL programs. To access the closed captioning, start by scanning the QR code available in each program room with your mobile device. Wordly links can also be included in the app in the program’s description. Once the link loads in your browser window, select your language and captions will begin to appear on your screen. For those who need audio support, feel free to use your own headphones.
Where are the all gender restrooms located?
All Gender Restrooms are located in the East Tower, Ballroom Level across from the Grand Ballrooms and on the Concourse Level outside of the Michigan meeting rooms.
Where is the on-site Business Center?
A full-service Business Center/Package Room is located in the Hyatt Regency on the exhibit hall level at the Riverside West entrance. It is open daily from 6:00 a.m. - 7:00 p.m.
Where is the FLASH Meeting Room located?
Attendees can sign up for a meeting room table while on-site and conduct a meeting or just relax. Visit the East Tower, Concourse Level Monroe Ballroom 4 in the Hyatt Regency to reserve FLASH Meeting Room.
Where is the Lost and Found?
Turn in, inquire about, or claim lost articles at the AALL Registration Desk in the Hyatt Regency for the duration of the conference. AALL is not responsible for lost, unclaimed, or damaged items.
Will there be medical assistance on-site?
The Hyatt Regency’s security staff is first-aid and CPR-trained and able to treat minor injuries. Security staff should be contacted for any medical need or emergency by dialing 55 from any house phone or by calling the main hotel number at 312.565.1234. Always be prepared to state your location and the nature of the illness or emergency.
Where is the New Mothers Station?
For mothers who are nursing, the New Mothers Station is located on the Ballroom Level, behind registration in Grand Suite 1.
Is there a quiet place where I can relax?
If you need to unwind and relax, please visit the Quiet Room, located on the Ballroom Level, behind registration in Grand Suite 5.
Download the Mobile App
Is there an app I can download from the Apple App Store or the Google Play Store?The conference mobile app for the 2024 AALL Annual Meeting & Conference is now available for both Apple and Android devices. If you started building your
conference schedule online, it will automatically sync with the mobile app after logging in. Remember to accept "push notifications" to receive important announcements, emergency notifications, and reminders while you are in Chicago.
- Visit the Apple App Store or the Google Play Store and download the AALL Events app. If you already have AALL Events installed on your device, make sure to download any updates.
- Open the AALL Events app on your mobile device and tap AALL 2024 to begin.
- You will be prompted to log in with your Email Address and Access Key. These are the same credentials used for logging into the online conference scheduler.
NOTE: After you log into the mobile app, you will be prompted to review your conference profile. Any information, including email addresses and phone numbers, will be viewable by other attendees if you share your profile. Make sure "Share your profile with attendees" is set to "yes" to appear in the Attendee List and to be able to message other attendees.
Logging In
How do I get my Access Key so I can log in?
- AALL will upload a list of registered attendees to the conference platform once a week. An email invitation will be sent to those that who were recently added, and the invitation will include your Email Address and Access Key.
Creating Your Schedule
How do I create a personalized schedule?
- Website: Click Login in the top-right corner and enter your email address and Access Key. After you log in, browse the Schedule and corresponding star to favorite all the educational programs, workshops, meetings, and events you are interested in attending.
- App: From the home screen, tap Schedule to browse the schedule. After selecting an educational program, workshop, meeting, or event you are interested in attending, tap the Star icon to favorite it. The star will change from white to yellow, which indicates it has been added to your schedule. If you already started buildling your conference schedule on https://aall2024.eventscribe.net/, it will automatically sync with the mobile app after you log in.
How do I access my schedule?
- Website: Log in and access My Experience from your personal menu in the top right-hand corner (click on your name). Then, access the My Schedule section.
- App: From the home screen, tap My Schedule to view all schedule items you favorited.
Can I export my schedule to my personal calendar?
- Website: Access your schedule from My Experience, and then click the Export button and select Export to Calendar. This will generate and download an .ICS file that can be imported to the calendar of your choice (e.g., iCalendar, Outlook, Google, etc.). Log into the conference app and then click the image in the top-right corner to expand your personal menu. Next, click My Schedule from the menu and then Add to Calendar. This will export all your sessions into an .ICS file onto your computer.
- App: Tap the hamburger menu in the top right-hand corner (three lines), and then tap Settings (gear icon). Select Save favorites to calendar and confirm “Save” or “Save and Alert” is selected. The mobile app will automatically upload favorited schedule items to the default calendar on your mobile device. If you select “Save and Alert”, it will add a 15-minute reminder for each item added to your calendar. NOTE: The mobile app will not automatically add personal meetings to your calendar.
Can I print my schedule?
- Website: Access your schedule from My Experience, and then click the Export button and select Print. You may also export your schedule as a Word document, an Excel file, or a PDF document before printing.
- App: There are no options for printing your schedule from the mobile app. It can only be printed from the website.
Can I add personal meetings to my schedule?
- Website: Access your schedule from My Experience, and then click the Add Personal Appointment button.
- App: From the home screen, tap My Schedule. Then, at the bottom of the screen tap Add Meeting.
Handouts & Notetaking
How can I access the program handouts?
- Website: After you log in, browse the schedule and select an educational program. If handouts are provided, you will see a Handouts button next to each speaker that uploaded a handout.
- App: From the home screen, tap Schedule to browse the schedule and select an educational program. If handouts are provided, you will see a Handouts button next to each speaker that uploaded a handout. IMPORTANT: When you the launch mobile app for the first time, it will ask you if you want to dowload files over "Cellular + Wi-Fi" or just "Wi-Fi." If you selected "Wi-Fi," make sure you have a Wi-Fi connection while using the app.
How can I take notes?
- Website: After you log in, browse the schedule and select an educational program. If slides are provided, you will see a Slides button next to the speaker that uploaded the slides for the presentation. After opening the slides, click on the pencil icon located at the bottom of the screen to add your notes.
- App: From the home screen, tap Schedule to browse the schedule and select an educational program. If slides are provided, you will see a View Slides button at the bottom of the screen. After opening the slides, tap "Draw" or "Notes" to add your notes. IMPORTANT: When you the launch mobile app for the first time, it will ask you if you want to dowload files over "Cellular + Wi-Fi" or just "Wi-Fi." If you selected "Wi-Fi," make sure you have a Wi-Fi connection while using the app.
Favoriting Exhibitors
Can I make a list of exhibitors that I wish to visit ahead of time?
- Website: Click Login in the top-right corner and enter your email address and Access Key. After you log in, browse the list of exhibitors and corresponding star to favorite the exhibitor you wish to save.
- App: From the home screen, tap Exhibitors to browse the list of exhibitors. After selecting an exhibitor you are interested in attending, tap the Star icon to favorite it. The star will change from white to yellow, which indicates it has been favorited.
How do I access the exhibitors I favorited?
- Website: Log in and access My Experience from your personal menu in the top right-hand corner (click on your name). Then, access the My Exhibitors section.
- App: From the home screen, tap Exhibitors. Then, at the bottom of the screen tap Booth List. All exhibitors you have favorited will have a yellow star. After you visit the exhibitor, you may tap the checkmark next to the exhibitor's name to change the checkmark's color from light gray to green. The checkmarks may be used to keep track of exhibitors you visited.
Networking & Privacy
Why is there a lock icon next to my name in the Attendees list on the website? Why am I not appearing in the Attendees List in the mobile app?
- Website: Review your profile and make sure to opt into sharing your profile with other attendees and exhibitors under Networking (third step). Share your profile with attendees and exhibitors should be checked.
- App: Tap the hamburger menu in the top right-hand corner (three lines), and select Edit My Info. Make sure Share your profile with attendees is set to "yes" (second step).
I no longer want other attendees to view my profile or message me. How do I change my privacy settings?
- Website: You can update your privacy settings at any time in the My Profile section. Under the Networking (third step), Share your profile with attendees and exhibitors should be unchecked if you do not want to appear in the attendee list. Attendees will not be able to view your profile or message you.
- App: Tap the hamburger menu in the top right-hand corner (three lines), and select Edit My Info. Make sure Share your profile with attendees is set to "no" (second step).
Do I need to upload a profile picture?
- Website: Profile pictures are optional, but we highly recommend uploading a photo to your profile. A profile picture allows others to identify you on-site and it helps with collaborating/networking with others, especially with those you have only met virtually.
- App: Tap the hamburger menu in the top right-hand corner (three lines), and select Edit My Info. Tap the circle and follow the steps to upload a photo from your mobile device.
How do I send a chat message to other attendees?
- Website: Browse the full list of conference attendees, and message those who have opted into the networking feature. Click on the name of the attendee you wish to contact, and then click on the Message Board button to type your message. Attendees that do not want to share their profile will have a lock icon next to their name.
- App: From the home screen, tap Attendees to browse the list of attendees. After selecting an attendee, tap the Message icon to send them a chat message. Attendees that do not want to share their profile will not appear in the attendee list
